Gardening for Life Celebration Volunteer &
Exhibitor and Volunteer Information
We will have all Volunteers and Exhibitors sign a waiver upon arrival. We ask that you preview this before arrival.
While some things may be adjusted at time of final setup, this map will give you an overview of the exhibit space.
Tips for the day:
Parking: Parking may be challenging, given the layout at the Polk County High School. Please arrive early and indicate to our parking attendants that you are a volunteer or exhibitor. They will direct you accordingly.
Volunteer Parking: All Volunteers will park at the rear of the building in the Exhibitor/Volunteer Parking Area. All volunteers are to come in the Volunteer/ Exhibitor Registration Entrance. If you have mobility issues please let our parking attendants know so that they can direct you to suitable parking.
Exhibitor Unloading and Parking: All Exhibitors will temporarily park at either the entrance by the purple exhibit hall area (indicated on map) or at the entrance by the orange book signing area/library. (Refer to map to choose the closest location to your exhibit table) Once unloaded, immediately move your vehicle to the Exhibitor/Volunteer Parking area in the rear of the building and then come in the Volunteer/ Exhibitor Registration Entrance.
Check-In / Registration:
Volunteers: Check in as you enter the Volunteer/ Exhibitor Registration Entrance with the Volunteer Coordinator. At that time, we’ll have you sign a waiver, give you a vest and name tag, and then you’ll head over to Registration to get your wristband. Wristbands are required to enter the auditorium for the presentation.
Exhibitors: A volunteer will meet you upon arrival and get you checked in. Once you are unloaded and your vehicle is moved, please go directly to the Registration Desk, (if you have registered) to get your wrist band for the Tallamy presentation. Then finish your setup.
Signage: Exhibitors, please be aware - you may not tape signs or information to the High School walls.
Times:
Volunteers are to arrive at times designated to you by our Volunteer Coordinator.
Exhibitors: You may arrive at 10 a.m. or after. You must have your exhibit set up and be ready to greet visitors no later than 12:00. Though our start times are 12:30 p.m. for plant sales and 1:00 p.m. for the main event, we do expect attendees to begin arriving early.
Hospitality:
While we are not providing meals, we will be offering snacks at our Hospitality Room from 10-5. We’ll also have pizza delivered late morning for volunteers and exhibitors to snack on.
Please come with whatever else you may need such as a water bottle, additional food, etc. (water bottle filling stations are in several locations in the building.)
Book Sales and Signings:
Tallamy book sales will be from 1:00-2:00 and resume after Doug’s presentation. Signings will begin at that time. Book Sales and Signings will take place in the Library.
Auditorium Seating:
Early seating begins at 1:25 for attendees who need extra time getting to their seat and for Partners. Auditorium opens for the remaining folks at 1:30.
Live streaming:
We will be providing a live stream specifically of Doug’s presentation and available to the public. It will go live just a few minutes before Doug takes the stage at 2:00 p.m. While we are working on having viewing screens set up outside the auditorium, this is not guaranteed. If you plan on being out in the Exhibit Hall during the talk we encourage you to bring an ipad or laptop so they you may view from that location.
Live stream link. We encourage you to share this link with your community members, friends, etc.
This will also be recorded and will be available on the GFLP YouTube Channel.
Wi-Fi:
All exhibit areas will have access to the venue’s guest wi-fi. No Password needed.
